Job Description:

Purpose:   To ensure accurate revenue, building budgets, and statements.

Responsible to:  Superintendent of Schools

 Qualifications/Requirements:

  1. Must have high school diploma or equivalency.

  2. Three years related experience.

  3. Accounting skills, 10-key by touch, and good keyboard skills.

  4. Proficient with Microsoft Office.

  5. Maintain confidentiality, integrity and honesty in all aspects of job performance.

  6. Must have the ability to communicate and work effectively and cooperatively with members of the school district and community.

    Essential Job Functions

  1. File purchase orders. When invoice arrives, match up with purchase order, correct prices, and prepare for payment.

  2. Prepare purchase orders for payment and proof list of bills for correct vendor, address and amount to be paid.

  3. Print checks and mail vendors.

  4. Code and receipt revenue in computer. Take deposits to bank.

  5. Monthly closing/balancing of books including reconciling bank statements and printing out necessary reports.

  6. Assist vendors who have questions about purchase orders, invoices, or statements.

  7. Prepare the necessary reports for the Board of Education and administration.

  8. Email budget reports to departments. Assist with questions about balances or purchase orders.

  9. Carry out essential steps for budget year-end and help with preparing the next year’s budget.

  10. Make payments from petty cash fund when necessary.

  11. Get necessary reports and information ready for auditors; answer questions for clarification.

  12. Set up new codes for new funds and add, delete, or change existing codes on individual funds.

  13. Transfer money at the bank into proper accounts.

  14. Make sure utility bills and other invoices are paid on a timely basis in order to avoid late charges. 

  15. Stop payment on checks

  16. Maintain file of W-9’s and issue 1099’s.

  17. File paid purchase orders, bank statements, and reports. Purge paperwork after five (5) years.

  18. Notify schools or departments to verify if orders have been received.

  19. Other duties as assigned.

 Marginal Job Functions:

  1. Record, monitor, and total utilities for all buildings – gas, electric, water and sewer.

  2. Mail sales tax payments on a monthly basis.

  3. Set up some single audit files for audit purposes.

  4. Invoice Hays Recreation Commission twice a year.

  5. Be willing to attend meetings locally or out of town.

  6. Be willing to work overtime when needed and approved.

  7. Give assistance to walk-in traffic in the main office when needed.

  8. Assist with answering telephones.

  9. Clean break room when assigned.

 

Special Physical Requirements:

  1. Must be able to sit at a workstation most of an eight-hour workday.

  2. Must have manual dexterity required for consistent and accurate computer input.

  3. Must be able to lift a minimum of 20lbs.

Term of Employment:

  1. At will.

  2. Regular attendance is required of all employees subject to allowed leave in accordance with district policy.

  3. Selected candidate must pass background check.

  4. Selected candidate must provide health and inoculation certificate.

    Evaluation:

  1. Performance effectiveness evaluated in accordance with provisions of Kansas Statutes and USD 489 Board of Education policy.

Evaluation will be the responsibility of the supervisor.
